Last month, FlexManager paid a visit to our clients, NPL Canada, at their offices in Vaughan, Ontario. We had the pleasure of speaking with Penny (EHSQ specialist) and Deebiga (Manager of Safety Compliance and Claims) and asking them about their experiences with FlexManager, from onboarding to becoming champions within their teams.
When asked about the challenges that they faced with previous systems, Penny shared:
“We were struggling with using multiple separate portals and systems for incident reporting and documentation storage.”
Deebiga elaborated on this point:
“We had one portal that wasn’t user-friendly. Flex helped with documentation, training records, we had another system that… had its limitations. It slowed down communications and made it difficult to maintain consistency. “
So what has been the most noticeable improvement? Well, here is what Penny had to say:
“In the event a client requires or requests training records, we can retrieve them immediately on-site. This eliminates the previous process where the field staff would need to ask the head office for this information. Our EHS advisors go on-field, they have access to the web portal and mobile app… all our documentation (training records, certifications, quality training) is on there, so it is easy for them to pull it up. “
We were curious: Is the field-to-office communication beneficial to the EHSQ team? Penny gave her perspective:
“For sure, not only that, during investigations it helps us to update what happens, get more information. For head office, we learn more as it progresses. It is real-time in our hands. “
– Regarding incident reports on-site –
“Now we are taking pictures, they are worth a thousand words, the details that they put in is just amazing.”
When it comes to the onboarding process for personnel, Penny provided context on how FlexManager has helped:
“It makes it easier, everything is all in the system, there is no paperwork! We used to it through a paper test, but now it is tied to the profile and I don’t have to do anything from my end. “
Taking on a new system can be difficult, so we wanted to get an idea of how adapting to the implementation of FlexManager was. Here are Deebiga’s thoughts:
“The way Flex is, it is user-friendly and easy to understand. When being trained, the functions made sense and I was excited to use it. We could put the information from different platforms into different parts of Flex.”
We posed a big question: What would they say to others about FlexManager, and would they recommend it? Here is what Penny had to say:
“It makes processes easier, it is a one-stop-shop, streamlined, and honestly it is amazing that you have the web and mobile app. Not many platforms have both so it is nice to see that also.“
Deebiga followed up on this with her take:
“It is such a grand system, from a compliance perspective, you can have everything you need to have. WSIB call and instead of having paper copies and a bunch of folders, you have a one-stop-shop. I would definitely recommend that to anyone who is moving on to another company that Flex is the system that they should use.”
In typical FlexManager fashion, we had to ask: Has FlexManager changed the way NPL Canada works? Here is how Deebiga answered:
It has, in the three years that I have been here, moving from different positions, I have seen that implementing Flex vs other platforms, it has changed accessibility, streamlined workflows and changed usability. Our teams are more productive, organised, and informed. Previously one manager wouldn’t know where something is stored, but now it is all in one system.

Streamlined, centralised system. – That is the best way, being here a few years and using the multiple systems, it was very difficult. Having Flex…it’s the best thing ever.
